Refund and Cancellation Policy
Effective Date: 29th Jan, 2025
This Refund and Cancellation Policy (“Policy”) applies to subscriptions for Policy Index (“we,” “our,” “us”). By subscribing, you agree to this Policy.
1. Free Trial
1.1. We offer a 15-day free trial to evaluate the service.
1.2. No refunds are offered once a paid subscription is purchased after the trial.
1.3. Trials are limited to first-time subscribers.
1.4. If you upgrade to a paid plan before your trial ends, the remaining trial period will end immediately.
2. Subscription Plans and Billing
2.1. We offer Monthly and Annual prepaid subscription plans that auto-renew until cancelled.
2.2. All payments are due in advance and are non-refundable.
2.3. Prices are exclusive of applicable taxes (including GST). Taxes will be added at checkout or on your invoice.
2.4. Charges are made in INR unless otherwise specified. If you pay in another currency, your payment provider’s conversion rates and fees will apply.
2.5. You authorize us and our payment processors to store and charge your payment method for recurring fees and taxes.
3. Cancellation
3.1. You may cancel your subscription at any time through your account settings or by contacting tripti@policyindex.ai.
3.2. Cancellations take effect at the end of the current billing cycle (monthly or annual).
3.3. We do not offer partial or pro-rata refunds for mid-cycle cancellations, downgrades, or unused time/features.
3.4. To avoid being charged for the next billing cycle, you must cancel before the renewal date. For annual plans, we recommend cancelling at least 7 days before renewal to account for processing delays.
4. Refunds
4.1. All fees are non-refundable once charged.
4.2. Refunds are only available in the following cases:
- Duplicate payments or accidental double charges.
- Billing errors (such as incorrect amount or plan), reported within 15 days of the charge.
- Technical issues caused by Policy Index that materially prevent access to the service and are not resolved within a reasonable time.
4.3. Approved refunds will be issued to the original payment method within 7–10 business days. Refunds cannot be issued to alternate accounts, in cash, or by other means.
4.4. Refunds (where applicable) will include the subscription fee and applicable taxes, subject to statutory compliance.
4.5. Refunds will exclude non-recoverable third-party payment processing fees (if applicable).
5. Upgrades and Downgrades
5.1. Upgrades take effect immediately, and charges may be prorated for the remaining term.
5.2. Downgrades take effect at the next billing cycle. No credits or refunds will be issued for downgrades.
6. Failed Payments and Chargebacks
6.1. If a payment fails, we may retry charges and may suspend or limit access until payment is successful. You remain responsible for all outstanding amounts.
6.2. Suspension due to failed or delayed payments does not entitle you to any credit, refund, or extension.
6.3. If you initiate a chargeback without first contacting us to resolve the issue, we may suspend your account and block further renewals until the dispute is resolved.
7. Data Retention After Cancellation
7.1. After your subscription ends, we retain your account data for 30 days to allow you to export your information.
7.2. After 30 days, we may permanently delete or anonymize your data, subject to legal obligations. Please ensure you export any required data before this period ends.
8. Account Termination and Misuse
8.1. We reserve the right to suspend or terminate accounts without refund if you breach our Terms and Conditions, misuse the service, or engage in unlawful activity.
8.2. Terminated accounts may have their data deleted immediately and without further notice.
9. Non-Transferability
Subscriptions are non-transferable and may not be sold, shared, or assigned to another person or organization without our prior written consent.
10. Service Availability and Downtime
10.1. We strive for high service availability but do not guarantee uninterrupted access.
10.2. Temporary downtime due to maintenance, technical issues, or force majeure events does not qualify for refunds or service credits.
11. No Oral Commitments
Only written commitments from Policy Index are binding. Verbal or informal assurances from employees, representatives, or resellers do not override this Policy.
12. Enterprise Contracts
If you have entered into a separately signed agreement with Policy Index, the terms of that agreement shall prevail over this Policy to the extent of any inconsistency.
13. Updates to This Policy
We may update or modify this Policy from time to time. Continued use of our services after changes are posted constitutes your acceptance of the revised Policy.
14. Compliance Disclaimer
Policy Index provides information services only. Refunds will not be granted based on perceived accuracy, completeness, or applicability of the content, as this does not constitute professional advice.
15. Governing Law
This Policy is governed by the laws of India, and any disputes shall be subject to the exclusive jurisdiction of the courts in Gurgaon, Haryana.
